Creating a Power Point Presentation
|
Using the Auto Content Wizard
The AutoContent Wizard creates a
presentation with a title slide and several additional topic slides.
It provides
suggested content and organization for your presentation.
Follow the step-by-step instructions in the Wizard.
When you finish, the AutoContent Wizard creates a presentation with a title
slide and several additional topic slides.
Select the suggested text and replace it with your own words.
Use the scroll bar to advance to the next slide
Using Templates
A template, also called a presentation design, lets you
create a presentation without worrying about design elements. The template
defines the color, background, and font of the slides. PowerPoint has many
templates, which you can preview and select in the New Presentation dialog box.
PowerPoint also lets you customize the templates. For
instance, you can change the background color or typeface of a template.
If you
have just launched PowerPoint, click the Template option button in the
PowerPoint dialog box to start a new presentation.
If you are already working in PowerPoint, follow these steps:
1.
Click the File menu, and then click New. The New Presentation dialog box
appears.
2.
Click the Presentation Designs tab, and then click an appropriate
template. The design will appear in the preview box.
3.
Click OK. The New Presentation dialog box will close.
Creating a Blank Presentation
1. Open the PowerPoint program. The PowerPoint dialog box
appears.
2. In the PowerPoint dialog box, click the Blank Presentation
option button. The New Slide dialog box appears. It asks you to choose an Auto
Layout format.
3. Click the Title Slide layout. It's the first in the list.
The name Title Slide appears in the preview box.
4. Click OK. A Title Slide appears, ready for you to work
with.
Opening an Existing Presentation
1. Go to file new.
2. Select open an existing presentation.
3. Select a file that was recently edited or click on more files to select a
file from your hard drive.
Adding Additional Slides
1. Click the New Slide button on the Common Tasks toolbar.
2. The Auto Layout dialog box will appear. Choose a
layout for your next slide.
Saving Your Presentation
While working on a presentation, it's a good idea to save
your work often. Otherwise, you risk losing your work. The next steps show you
how to save your presentation to your hard drive for the first time, using the
Save As command.
1. Click the File menu, and then click Save As. The Save As dialog box will
appear.
2. In the File name box, type a name for your presentation.
3. Click Save.
The presentation is now saved to your hard drive.
Once you've saved the presentation for the first time,
periodically save it by clicking the File menu, then clicking Save. Or, click
the Save button on the Standard toolbar.
Adding Text to a Slide
The Title Slide layout contains text boxes for a title and a
subtitle. Try typing text into these boxes.
1.
Click in the Title text box. A thick gray border appears around the text
box indicating that it is selected.
2.
Type a title.
3.
Click the Subtitle text box and type a subtitle.
Working with Text Boxes
Inserting Text Boxes
1.
On the drawing toolbar, click the Text Box button. The pointer will change to a
cross.
2.
Click on the slide where you want to place the text. A small text box
will appear.
3.
Type a word in the text box. As you type, the box will expand to fit the
text.
4.
After you finish typing, click outside the text box. The border around the box
will disappear.
Moving Text Boxes
1.
Click the text box you want to move. A thick gray border will appear
around the text box.
2.
Place the pointer on the border. The pointer will change into a
four-headed arrow.
3. Hold down the mouse button and drag the box to the new
location.
4. Release the mouse button.
Resizing a Text Box
1. Click the text box to select it. A gray border will appear
around the text box.
2. Place the pointer on a resizing handle. The pointer will
change into a two-headed arrow
3.
Hold down the mouse button and drag the resizing handle until the box is
the size you want. Drag outwards to make the box larger. Drag inwards to make
the box smaller.
Copying a Text Box
1.
Click the text box to select it.
2.
Place the pointer on the box's border and click again. The insertion
point will disappear from the text box.
3.
Click the Edit menu, then click Copy.
4.
Click the Edit menu again, then click Paste. A copy of the text
box is now pasted on top of the original box.
5.
Click and drag the
new text box to the location you want.
Adding Color to a Text Box
1.
Click the text box to select it.
2.
On the drawing toolbar, click the arrow beside the Fill Color button,
then click the green color box. The text box will turn green.
Outlining a Text Box
1.
Try adding a blue dotted outline to a text box.
2.
Click the text box to select it. A border will appear around the text box.
3.
On the drawing toolbar, click the arrow beside the Line Color button, then click
the blue color box.
4.
Next, click the Line Style button, and then click 3
pt.
5.
Finally, click the Dash Style button, and then click the square dot dash option.
A dash style box will appear.
6.
Click outside the text box to deselect it.
Adding Graphics
Word Art
1.
Click insert, picture, word art or use the button on the drawing toolbar.
2.
Make a selection from the word art gallery to use a pre-set format. You
can change the formatting later or customize a design that you have selected.
3.
Type your text and change text font and size in this box. When you click
OK your text will appear on your slide.
4.
When you select your text the Word Art Toolbar will appear. Use the tools
on this toolbar to make changes to your word art.
Shapes
1.
Click on Auto shapes on the drawing toolbar.
2.
Select from lines, basic shapes, block arrows, flow charts, etc.
3.
The cursor will change to a cross when you point at the slide. Draw the
shape.
Adding Fill Color
1.
Click the shape to select it.
2.
Click the arrow beside the Fill Color button, and then click More
Fill Colors. A Colors dialog box appears.
3.
Click the Standard tab, then under Colors, select color.
4.
Click OK to close the Colors dialog box.
Adding Texture
1.
Click the shape to select it.
2.
Click the arrow beside the Fill Color button, then click Fill Effects.
The Fill Effects dialog box appears.
3.
Click the Texture tab.
4.
Click on a texture, and then click OK.
Adding Clip Art
1.
On the Standard Toolbar, click Insert
- Picture - Clip Art or click the insert clipart icon on the drawing
toolbar.
2.
The Microsoft Clip gallery dialog box appears.
3.
Click the Clip Art tab.
4.
In the Categories list, click Cartoons. PowerPoint displays clip art from
the Cartoons category.
5.
Click an image to select it.
6.
Click the Insert button. The cartoon image is inserted on your slide.
Adding Motion
Transitions
- A transition is a
special effect used to introduce a slide during a slide show.
The following steps will show you how to add a transition to
a slide.
1.
In Slide Sorter View, click the slide you want to add the transition to.
2.
Click the Slide Show menu, then click Slide Transition. A
Slide Transition dialog box will appear.
3.
In the Effect list box, click Checkerboard Across.
4.
Click the Medium option button to select a speed for the transition.
5.
Click the Apply button. A slide transition icon appears under the
slide's left corner, indicating that the transition has been applied.
6.
If you want the same transition to apply to all the slides in your
presentation, click the Apply to All button in the Slide Transition
dialog box.
Adding Sounds to a Transition
1.
In Slide Sorter View, click the slide with the transition you are adding
sound to.
2.
Click the Slide Show menu, and then click Slide Transition.
The Slide Transition dialog box will appear.
3.
Select a sound effect from the Sound drop-down list, then click
Apply. The sound is added to the transition.
4.
If you want the sound to continue playing until the next sound in your
presentation, click the check box next to 'Loop until next sound'. But
use this feature sparingly. Some sounds may lose their effect if they are played
too long. Or, they may interfere with other elements of your presentation.
Timing a Transition
If you want your slide show to run automatically, you must
add timing to the slides. When you add timing to a slide, you specify the number
of seconds to remain on each slide.
Here's how you add timing to your slides:
1.
Select the slide you want to add timing to by clicking it.
2.
In Slide Sorter View, click the Slide Show menu, and then click
Slide Transition. The Slide Transition dialog box will appear.
3.
Under Advance, click the check box next to Automatically After.
4.
In the seconds box, type the number of seconds to remain on the slide.
For example, 5 seconds.
5.
Click the Apply button.
6.
When you run your slide show, the slide that you have applied the timing
to will only remain on screen for five seconds.
Animation
When you animate an object, you add special visual or sound
effects to it.
The following steps will show you how to animate a cartoon
image while working in Slide View.
1.
Click the Slide View button to go to Slide View.
2.
On the slide, click the cartoon image to select it.
3.
On the Formatting Toolbar, click the Animation Effects button. The
Animation Effects Toolbar will appear.
4.
On the Animation Effects Toolbar, click the Flying Effect button. The
flying effect is now added to the image.
Customizing Your Animation
1. Select
the object to customize by right clicking on the graphic.
2. Select
custom animation.
3. Place
a check mark by the description of the graphic.
4.
Click the down arrow on the effects tab and select a custom animation.
5. Select
the order and timing tab. You can them select the order of animation and the
action that will start the animation.
6. Preview
and click OK.
Adding Sound to Animations
1.
In Slide View, select the animated object you want to add the sound
effect to by clicking it.
2.
Click the Slide Show menu, then click Custom Animation. You
can also click the Custom Animation button on the Animation Effects toolbar
3.
Under Entry animation and sound, select a sound effect from the
drop-down list.
4.
If you want to preview the sound effect, click the Preview Button.
5.
Click OK to add the sound to the animation. The sound is added to the
animated object.
View the Presentation
In a Slide Show, all the slides of your presentation are
displayed in sequence. The Slide Show is controlled either automatically or
manually.
1.
You can preview the presentation you are working on at anytime by
clicking the Slide Show button.
2.
If you have applied timings to all the slides in your show, the Slide
Show runs automatically.
If you haven't applied timings to the slides, you must
advance the slides manually.
Let's take a look at how you can preview a Slide Show by
advancing the slides manually.
Note:
You can start a Slide Show from any view--Slide Sorter View, Slide View, etc.
1.
Click the Slide Show button in the lower left corner of the PowerPoint
window. The first slide of the show will appear.
2.
Note: The slide show will start from whatever slide you are viewing when
you click the Slide Show button.
3.
To advance to the next slide of the show, click the left mouse button.
The next slide will appear onscreen.
4.
Continue clicking the left mouse button until the show is complete.
